Subdivision Location Services aims to make the process of finding the perfect location for photo and video shoots simple, clear and enjoyable. From a straight-forward file pull to a needle in a haystack challenge, we work hard to be resourceful and invaluable partners to your production.
Our services do not end once your location has been sourced. Location prep is available for those crews needing to hit the ground running by walking into a location at call time that is ready to make magic. Turnkey production services, including the booking of any crew member, craft service/catering, sourcing/stocking expendables, and transportation can be provided by our sister-company, Sisterbrother MGMT.
Location Booking Terms + Policies
These policies are general and should be considered a basic framework. Each property owner has specific HOUSE RULES which must be reviewed and agreed to prior to crew admission onto the property.
A day rate is based on ten consecutive hours on location, usually from 8 a.m. to 6 p.m.
Minimum Booking Time
Most residential locations have a one half-day minimum, although some require a one or two day minimum. Some commercial locations charge/ book by the hour.
May apply before 8 a.m. or after 6 p.m. on weekdays or all day on weekends and holidays. Please notify Subdivision Locations of any potential overtime as soon as possible. All overtime requires additional homeowner approval prior to booking.
Weather Permit Bookings / Rescheduling
Weather permit bookings must be specified at the time of booking. Subdivision Locations reserves the right to allow definite bookings to take precedence over weather permit bookings. Subdivision Locations requires all weather related cancellations/rescheduling to be confirmed with 12 hours of the schedule arrival time. All cancellations/rescheduling less than 12 hours before scheduled arrival time will be charged a half-day rate.
Confirmed bookings cancelled within less than 24 hours are charged a full day rate. Confirmed bookings cancelled at least 24 hours in advance are charged a half-day rate.
Subdivision Locations must be notified if crew size exceeds 12. An on-site location manager and additional charges apply for large crews (typically 50% over base rate).
Some locations are in neighborhoods that require special permitting for production and parking. To the extent Subdivision Locations is aware of such requirements, we will inform Production at the time of booking. Payment for permits and other fees are the responsibility of the Production.
Crew parking, RV parking, phone use, facility use, WIFI access, food and drink requirements, overnight storage and other particulars will vary depending on location and are clearly outlined in each property’s HOUSE RULES. Please thoroughly document the arrangement of all rooms being altered in any way and return all contents to their original order.
Storage on Location
All storing of boxes, equipment, props or merchandise over night at a confirmed location must be approved prior to the shoot. Fees incurred will be assessed based on timeframe and the amount of space needed.
Production must procure and maintain general liability insurance coverage against claims for bodily injury, death, and property damage occurring in connection with Production’s use of the location. Such coverage must be primary and not contributory. This insurance must name the property owner and property address as additional insured. Production must provide Subdivision Locations with a certificate of Insurance evidencing this coverage prior to the first date of the photo or video shoot. A signed hold harmless agreement is also required.
Leave No Trace
Reasonable precaution must be taken to ensure that the location is treated with care and caution. This includes but is not limited to: protecting surfaces, walls, landscaping and furniture from damage. Furniture and contents of the location may be moved as well as used in photography unless specifically excepted in the HOUSE RULES. Production is responsible for leaving the location in the same or better condition than it was found. This includes the removal of all production-related equipment, garbage and signage in surrounding area. A cleaning fee of $200 will be charged to Production if this standard is not met.
Production is responsible for documenting existing damage prior to the shoot. Production must notify Subdivision Locations of any damage to a location or its contents immediately. Property owners will report any damage within 24 hours of production wrap. Production is responsible for paying for all damages.
Payment is required in full prior to the first booked shoot date.
Our agency will be included in all quoted rates.
A finance charge will be applied to all invoices not paid within thirty days.
